Centre Facilities Administrator
Ebbw Vale
36.5 hours Monday - Friday
£18,000pa
PURPOSE OF JOB
To be responsible for the day to day operation of the Centre and administration. The main base for the role will be at the Ebbw Vale Innovation Centre although there will be the occasional need to attend the Cardiff Bay site.
PRINCIPAL ACCOUNTABILITIES:
a)To oversee the daily operation of The Centre.
b)Ensure UK Steel Enterprise Ltd Health and Safety Policy is adhered to.
c)To ensure that new and prospective tenants are fully briefed on the operation of The Centre and that they are fully aware of their responsibilities.
d)Oversee the Centre's receptionist, and manage any sub contractors.
e)Prepare the monthly sales invoices for the rental fees and rechargeable services using SUN accounting system.
f)Verify invoices for purchased goods and services for price and quantity and authorise purchase invoices within the AOP up to a value of £5000.
g)Liaise with Head Office on provision of sales/purchase account codes and all matters affecting computerised accounts.
h)To be responsible for operating the Centre within the agreed AOP's
i)Assist with marketing campaigns to promote occupancy within The Centre.
j)Assist with the letting of available business units and negotiating rental levels and entry terms within defined limits. Provide written quotations as appropriate
k)Advise the utilities, local authority, security company and all relevant bodies of all occupancy changes to avoid incorrect charging.
l)To maintain excellent standards of site housekeeping and maintenance.
m)To undertake any ad hoc exercises and duties at the request of the Area / Regional Manager.
VISION/CONTEXT
This position exists to be responsible for the day-to-day administration of The Centre.
Because of the small staffing level the Centre Administrator is an important contributor to the efficient running of the business, and a degree of flexibility is essential. There will also be the occasional need to be flexible on hours worked and to deal with 'out of hours' key holder call outs for the sites.

KNOWLEDGE AND EXPERIENCE
Essential:
- Property/Facilities Management Experience
- Excellent organisational skills
- High level of customer service experience with the ability to communicate with individuals at all levels
- The ability to work independently
- Proficient IT skills including Microsoft Office packages.
Desirable
- Experience of SUN Accounting package would be desirable but not essential
